Enhancements to Charity Functionality Including a New Round-Up Option

Enhancements have been made to the way utilities can enable their customers to make charitable donations as part of their utility bill.

Users of New World ERP Utility Management have long been able to set their customers up on charity programs, enabling them to donate a designated flat dollar amount, such as $1.00 or $5.00 or some other amount, to a selected charity.

Enhancements have been made in 2019.1 to improve charity functionality generally, and to allow utilities to accommodate customers who would like to donate to charities in a round-up capacity, opposed to donating a flat fee.

This means that customers, instead of donating a specific amount of money to a charity every billing period, can choose instead to enroll in the Round-Up Charity program, through which they can donate, every month going forward, the amount required to round up their bill to the nearest dollar, whatever that change amount may be.

Important: Participation in a round-up charity program requires customer enrollment. Once a customer is enrolled in a round-up charity program, they will be billed for the round-up amount every month. It will appear on their bill as a separate line item. If they want to discontinue the donation, they will have to contact the utility, and the utility will have to take steps to remove the charity donation from the customer’s bill.

Enabling customer charity donation programs requires some set up on the utility’s part. However, the setup process is easy and requires no assistance from New World ERP personnel.

Setup

Charities display on participating customers’ bills as separate line items. To ensure that they do this properly, you must do two things: 1) set up a dedicated charge category and appropriate G/L accounts, and 2) create a billing item for the charity that ties to the dedicated charge category.
